The AI Coding School serves solely as a facilitator and promoter of the Worldwide Kids Vibe Coding Hackathon. Each local host is fully responsible and liable for organising, supervising, and ensuring compliance with all safety, legal, and logistical requirements at their physical venue.

👧 Recomended Mentor-to-Child Ratio

Arrange one mentor for every three children, and the two designated hosts. This ensures each participant receives adequate guidance and immediate help when questions or technical issues arise.

⏳ Pre-Event (6 Weeks Before)

In the month leading up to the Worldwide Kids Vibe Coding Hackathon, each host team carries out a defined set of tasks to guarantee a smooth and safe experience. First, recruit a cohort of 5 to 20 children aged 9–13. Make sure that two background-checked adults—designated as host and co-host—are confirmed for the full duration of the event.

Next, verify that the venue meets all logistical and safety requirements. The space must belong to a registered organisation (school, company, institute, official venue) and offer basic accessibility features such as ramps, accessible restrooms, and a quiet breakout area. Confirm that Wi-Fi coverage and electrical outlets are adequate for every workstation, and place a first-aid kit plus an emergency-contact list in a clearly visible location.

Parents and guardians should receive the event schedule and all consent forms—covering media use, data handling, and general safety—well in advance. Collect the signed forms before event day.

Technical preparation involves logging in the web tools (Lovable, Rosebud, etc) on each computer and testing the voucher credits when supplied. Test log-ins and run a brief bandwidth check to ensure reliable internet performance.

Hosts must join the Discord #host-channel in advance to stay informed of real-time updates. Finally, announce the upcoming hackathon on social media using #WoKiViCo.

On the day and time slot of your local hackathon—Friday, Saturday, or both—begin by checking in all participants and verifying their identity and consent forms. Use the provided presentation to explain to the kids what they can expect for the day and review the code of conduct so that every child understands the expectations.”

Device check: immediately after check‑in, take two minutes to confirm that every child has access to an individual laptop (brought from home or supplied by the venue). Each device must already be logged in to a Lovable account and a ROSEBUD AI account, and the operating‑system password should be provided on paper by the parent or guardian. Parents are instructed to change these passwords after the event. Kids will work individually on their own machines during the hackathon.

At the end of the programme, run a demo session in which each team presents its project in a one-to-three-minute showcase; record these presentations locally.

✅ Post-Event (Within 72 Hours)

All deliverables must be finalized within three days of your last event date to participate in the official outstanding projects selection. Upload project files, demo videos, and participant reflection sheets to the shared drive linked in Discord. Complete the Host Report Typeform. Issue digital certificates generated by the template provided and email them to participants.

Return the venue to its original condition, dispose of waste responsibly, and recycle any name badges. Lastly, we would love if you can share three to five highlight photos—omitting faces without media consent—in the Discord channel.
